Event Funding and Invoicing

Apply for funding for an upcoming event

UMSU Affiliated clubs that are also affiliated with the Faculty of Engineering and IT are eligible to apply for student club funding to support their events throughout the year.

Student clubs and societies will be responsible for providing some of their own funding along with UMSU (University Melbourne Student Union) and where possible, their sponsors. This particular grant is funded by the Student Enrichment team and should be viewed as an additional source of financial support.

Applications must be received no later than two weeks prior to the event, and preferable 3-4 weeks prior to the event. Please remember that funding is not guaranteed, and early application is recommended.

Invoicing FEIT after your event has taken place

To obtain your approved funding, you will be required to submit your invoice via your dedicated Club Teams Sharepoint Site. It is required that this is submitted no later than two weeks after the event date.

You must include the following when submitting your online form:

  • A unique invoice number. Please DO NOT use invoice numbers like '01, 001, 0001'. Instead, try a range of numbers and letters, or insert your club acronym before using generic numbers i.e., SC-001, MUCSS-451
  • Receipts to show use of funds - We need ALL receipts to ensure the funds have not been used to purchase any disallowed items or any items that were not outlined in the funding application.
  • The invoice should be made out to Faculty of Engineering and Information Technology (FEIT) and include your club ABN.
  • No GST component - Please note that we are only reimbursing you funds that you have spent. Please do not list GST in the invoice. We only need to see a total amount owed to your club. For example: If you spent $500 on a recent event and have receipts to show the funds have been used appropriately, we would reimburse you $500.
  • Short report of the event.
  • Excel spreadsheet of Student ID's  of attendees.
